The Hiring page contains all recruitment-related settings, including hiring manager assignment, email automation, and the default hiring pipeline. Each section allows you to configure how job posts, candidate communication, and application workflows operate inside your account. Hiring Manager This section allows you to assign users who can manage job posts, application forms, and the career page. The panel shows that no hiring manager has been added yet. Select Add people to choose employees who should have access to hiring features. Once added, these users will be responsible for creating and publishing job posts, monitoring applications, and handling the recruitment pipeline. Email Auto-Reply & Forwarding This option controls how incoming candidate emails are handled. When enabled, unidentified emails are automatically forwarded to the hiring managers. Candidates also receive an automatic acknowledgment email. If disabled, unidentified emails will not be forwarded or replied to. Toggle the switch to enable or disable this functionality based on your preference. Email Automation for Candidates The system includes useful automated email features designed to improve candidate experience. You can enable the following: Submission Acknowledgement Email This automation instantly emails candidates as soon as they submit a job application. Once enabled, every applicant receives a confirmation email acknowledging receipt of their submission. This helps provide clarity and sets expectations early. Candidate Rejection Email This option notifies candidates when they are not selected for a role. When enabled, the system automatically sends a rejection email once you mark a candidate as rejected. It ensures clear communication and prevents candidates from waiting indefinitely. Kanban Board Configuration The Kanban Board section gives you complete control over how candidates move through your hiring workflow. It allows you to enable, disable, reorder, and customize every stage so each job post can follow a process that matches your hiring strategy. Overview Of the Default Stages The system provides a set of predefined stages that cover the full hiring cycle. You can turn each stage on or off based on whether it applies to your recruitment process. Here are the default stages included: New – Candidates who just applied. Rejected – Candidates who will not move forward. Short Listed – Candidates selected for the next review step. Interview – Candidates scheduled for interviews. Task Assigned – Candidates who are given a test or assignment. Offer – Candidates who receive an offer. Negotiation – Candidates who are discussing terms. Each stage has a toggle switch so you can instantly activate or deactivate it. If a stage is not relevant for your workflow, you can keep it turned off. Customizing The Kanban Structure When you click Edit, a detailed configuration window opens where you can modify the Kanban pipeline: Reorder stages by dragging the handle icon. Rename any stage to fit your internal terminology. Delete stages using the trash icon. Add new stages by typing the name and clicking the plus button. This flexibility allows you to design a fully customized hiring pipeline for different job types or departments. Setting Rejection Stage At the bottom of the configuration panel, you will find the Rejection Stage selector. This determines which column will be treated as the final rejection point for candidates. You can choose any stage (typically “Rejected”) to centralize declined applications in one location. This ensures the system knows exactly where rejected candidates should go, improving reporting accuracy and workflow clarity.
